    Terms and Conditions for Use of the Electronic Residency Application Service: AAMC Letter Writer Portal

    When you use the AAMC Letter Writer Portal for the submission of letters of recommendation for ERAS applicants, you agree to the Letter Writer Portal Terms, which incorporate by the AAMC Website Terms and Conditions and the AAMC Privacy Statement, and the following ERAS specific terms and conditions:

    The AAMC Letter Writer Portal is the required method for submitting letters of recommendation, including  narrative letters and standardized letters of evaluation, for applicants participating in the National Resident Matching Program® (NRMP®) Main Match and Supplemental Offer and Acceptance Program® (SOAP®), as well as other activities to fill positions after The Match, Urology Secondary Match, or any other uniform offer dates at ERAS participating programs. If a program requests materials from an author other than a letter of recommendation, and the author chooses to provide such information, the additional materials must be sent outside of the Letter Writer Portal and ERAS.

    You must follow program and specialty requirements for letters of recommendation:

    • Dermatology, Plastic Surgery-Integrated and Urology are participating in a standardized letter pilot. 
      • If an applicant requests a standardized letter, you must use the standardized letter form built into the Letter Writer Portal. You cannot upload a PDF of the standardized letter form. 
      • If an applicant requests a narrative letter, you may upload a PDF of the narrative letter.
    • For all other specialties, you may upload a PDF of the narrative letter and/or standardized form.

    Letters are the property of the author of the letter, and authors may withdraw or edit their letters by contacting ERAS Support

    Once an applicant has submitted the applicant’s application to a program, the applicant’s selection(s) of which letter(s) to send to that program are locked. The applicant may not change (i.e., remove) a letter selection once it has been locked, even if the author has withdrawn or edited their letter.

    Repeat ERAS applicants may import their letters from previous seasons (since ERAS 2020 season) if they have certified and submitted ERAS applications. Descriptive information about the letter cannot be edited even if the letter is being imported for another season; new information requires resubmission of the letter by the author or author’s designee.

    You agree that any information, data, or content provided in a letter or the descriptive information about the letter may be used for research, analysis, and development purposes, consistent with the AAMC’s privacy and data policies. Data may be shared, displayed, or otherwise made accessible to third parties, including but not limited to reviewers and affiliated programs, in connection with evaluation, reporting, or related activities. Where reasonably practicable, data will be presented in an aggregated or de-identified format; however, authors acknowledge that certain submissions may be attributable to themselves based on the nature of the information provided.

    If you submit a letter of recommendation on behalf of one or more authors, you represent that you have obtained approval from each listed author to submit the letter subject to these terms and conditions.
