Senior Medical Students and Medical Graduates of Tulane School of Medicine

ERAS empathizes with the students, graduates, faculty and staff of Tulane in the aftermath of Hurricane Katrina. We are dedicated to helping, as best we can, to support your efforts, to apply to residency, under such extenuating circumstances.

While working closely with your school, we have devised a plan to assist them in getting your supporting documents into the ERAS system. ERAS staff will process supporting documents for Tulane medical school seniors and graduates only.

Please review the information below for instructions on processing supporting documents for your ERAS 2006 application.

Supporting Document Processing Information

ERAS will only process letters of recommendation and photographs for Tulane applicants by the following methods of transmission:

Note: Letter writers should forward letters of recommendation directly to ERAS for processing. Letters of recommendation received via email will only be accepted as PDF document types or scanned TIF file types (text documents will not be accepted). Photographs received via email will only be accepted in JPG format.

Missing Letters of Recommendation for Tulane Applicants

If you submitted letters of recommendation to the Tulane Dean's Office prior to the storm, review the Applicant Document Tracking System (ADTS) in MyERAS to determine if those letters of recommendation were successfully attached to your application. If they are not listed among your received documents, you may assume that they were either lost in the storm or never reached your school. If you have current contact information for your letter writers, follow-up with them and have the letter(s) sent to ERAS for processing.

If you have no contact information for letter writers, attempt to locate those writers using available communication channels (i.e., Dean, blackboards and websites, other faculty and staff, etc.). Once contacted, have your letter writer(s) submit new letters directly to ERAS for processing. Concurrently, you may want to identify alternate candidates to write letters in support of your ERAS application in case you cannot contact your original letter writers.

If you are unsuccessful securing letters of recommendation, do not be overly concerned. ERAS has already alerted residency programs that Tulane and LSU-New Orleans applicants may not be able to submit complete applications because credentials may not be available. ERAS has also recommended that programs relax deadlines and consider how they will review applications from affected applicants when supporting documentation may be late or not available. Programs have shown a willingness to remain flexible during this difficult time.

If you participated in ERAS 2005 and wish to reapply in ERAS 2006, ERAS may be able to retrieve your application files from last year. Contact tulaneprocessing@aamc.org or call (202) 828-0413 for more details.

Dean's Letters/MSPE and Transcripts

Tulane's Student Affairs Office has indicated that they should be able to provide Dean's Letters/MSPEs and transcripts for their students by November 1, 2005. Once available these documents will be uploaded to the ERAS Post Office for downloading by programs.

Tracking the Status of Supporting Documents

Track the status of your ERAS application materials using the Applicant Document Tracking System (ADTS). The ADTS lists each program to which you have applied; the dates the documents were uploaded by your designated dean's office, and the date the program downloaded each document.

You will need your AAMC ID number and password to access the ADTS. If you lose or forget your password, go to the MyERAS Login Page and click on "Forgot Password". If you forgot your AAMC ID or require further assistance, you may contact the ERAS Help Desk at: 202-828-0413, Monday - Friday, 8:00 a.m. - 6:00 p.m. EST.

ERAS Communication with Participating Programs

In light of the far reaching impact of Hurricane Katrina, ERAS has contacted programs to encourage them to consider extending their application deadlines and to show understanding towards those affected by the hurricane. In addition, we have recommended that all residency programs not affected by the hurricane, begin thinking about how they might assist the applicants from Tulane who may apply to their program, since access to supporting documents may not be readily available and possibly delayed.
