OSR-GSA Committee on Student Records Update

January 2008

Revising the Handbook for Student Records Administrators
Members of the Committee on Student Records are working diligently to produce the next edition of this manual. The latest edition will contain updated information and resources to aid administrators in the Registrar's office in dealing with all aspects of student records. The handbook will contain the finalized Effective Practices document on joint/dual/combined degree programs. It is expected to be finalized later this summer with proposed distribution at the 2008 Annual meeting.

Visiting Student Application Service (VSAS)
The VSAS program is a new AAMC application designed to make it easier for senior medical students to apply for away electives at other institutions. The program will allow students to submit one application to multiple programs, streamlining the application process. In the pilot year of 2008-09, ten U.S. medical schools will be using the VSAS system to accept applications for electives at their institutions. The launch of VSAS is anticipated later this spring and medical school officials are in the process of being trained to navigate and utilize the VSAS system.

Affiliation Agreements
Affiliation agreements are between hospitals and medical schools that may need to be signed before a medical student will be permitted to do an away rotation at an institution. During the past twelve to eighteen months, there have been an increasing number of hospitals across the country asking for affiliation agreements for electives during the senior year. Signing affiliation agreements can be cumbersome as legal services and other departments may need to be consulted before a medical school can sign off on an affiliation agreement. The amount of time and paperwork associated with these agreements has caused several medical schools to limit elective rotations performed at specific institutions requiring these agreements. As affiliation agreements are emerging as a hot topic in the GSA Committee on Student Records and the GSA Committee on Student Affairs, the two groups are currently working cooperatively to find a solution to this problem. More information will be forthcoming this summer.
