Chair

Elected at the spring National Professional Development Conference (NPDC), the position runs through to the next NPDC.

  • Appoints members of ad hoc committees.
  • Directs oversight of GIA budget, activities, programs and projects.
  • Coordinates the execution of the Annual Meeting programming.
  • Attends the Awards competition judging when necessary (held December/January)

Presides over the following meetings:

  • National Professional Development Conference and Steering Committee Meeting (held in March/April)
  • National Professional Development Conference Planning/Steering Committee Meeting (held in July at a determined location)
  • Steering Committee Meeting held during the Annual Meeting.
  • Steering Committee and Annual Meeting Planning (held 1-1/2 days in February at AAMC Headquarters)

Chair-Elect

Elected at the spring National Professional Development Conference (NPDC), the position runs through to the next NPDC.

  • Coordinates the execution of the National Professional Development Conference programming.
  • Responsible for the minutes of the Past Chairs meeting.

Presides in the absence of the Chair for the following meetings:

  • Annual Meeting
  • Steering Committee Meetings
  • National Professional Development Conference

Attends the following meetings:

  • GIA National Professional Development Conference (held in March/April)
  • GIA National Professional Development Conference Planning/Steering Committee Meeting (held in July at a determined location)
  • Steering Committee Meeting held during the Annual Meeting
  • Steering Committee/Annual Meeting Planning (held 1-1/2 days in February at the AAMC Headquarters)

Vice Chair Public Relations/Marketing

Elected at the spring National Professional Development Conference (NPDC), the position runs through to the next NPDC.

  • Provides oversight for Annual Meeting and National Professional Development Conference public relations and marketing programming.
  • Advises regional chairs on recruiting public relations/marketing representatives of AAMC-member institutions for GIA membership.
  • Directs planning and execution of special programs and workshops relating primarily to public relations/marketing.
  • Advises the GIA Chair and Steering Committee on GIA matters relating to public relations and marketing.
  • Participates in GIA Annual Meeting, National Professional Development Conference and Steering Committee Meetings.
  • Every other year, serves as either coordinator of the GIA Awards for Excellence Competition, or of the National Professional Development Conference (see duties below).

Awards Coordinator

  • Confers with the immediate past Awards Coordinator on logistics for running the competition and makes any needed adjustments to the competition. (A Coordinator's Guide for the competition is provided to each new coordinator with detailed instructions for implementing the competition judging.)
  • Replaces all outgoing judges from the selection of previous winners, making sure the replacements provide appropriate representation in terms of professional discipline, gender and geographic distribution with the current judges.
  • Updates the Call for Entries with current submission deadlines, category description changes, mailing address of the coordinator, etc. The information is then sent to the GIA Executive Secretary to be distributed to the membership.
  • Arranges logistics for the judging including hotel meeting space and guest rooms for the judges, GIA Chair and Executive Secretary.
  • Oversees the judging competition.
  • Informs winners by written correspondence.
  • Serves as presenter at the Awards for Excellence Reception during the spring National Professional Development Conference.

National Professional Development Conference Coordinator

  • Arranges and conducts conference calls on a bi-weekly basis with the Steering Committee to develop format, content, and speakers for the conference.
  • Provides minutes from each conference call, along with an updated program grid to the planning participants for review.
  • Assigns sections of the program to planning participants for obtaining speakers, session titles and descriptions, etc. Provides and enforces timelines.

Attends the following meetings:

  • National Professional Development Conference and Steering Committee Meeting (held in March/April)
  • GIA National Professional Development Conference Planning/Steering Committee Meeting (held in July at a determined location)
  • Steering Committee Meeting held during the Annual Meeting in October/November
  • Steering Committee/Annual Meeting Planning (held 1-1/2 days in February at AAMC Headquarters)

Vice Chair, Alumni/Development

Elected at the spring National Professional Development Conference (NPDC), the position runs through to the next NPDC.

  • Provides oversight for Annual Meeting and National Professional Development Conference alumni affairs and development programming.
  • Advises regional chairs on recruiting alumni affairs and development representatives of AAMC-member institutions for GIA membership.
  • Directs planning and execution of special programs and workshops relating primarily to alumni affairs and development.
  • Advises the GIA Chair and Steering Committee on GIA matters relating to alumni affairs and development.
  • Participates in GIA Annual Meeting, National Professional Development Conference and Steering Committee Meetings.

Regional Chairs

Elected at the spring National Professional Development Conference (NPDC), and serve until the next NPDC.

  • Contributes to the planning of the National Professional Development Conference for the following year.
  • Participates in the planning of the Annual Meeting for the following year.
  • Works with other regional chairs and steering committee to identify and recruit track chair candidates in both their region and discipline to participate in the programming process for both the National Professional Development Conference and the Annual Meeting.
  • Works with vice chairs to establish annual goal to increase membership in respective discipline.
  • Plans annual programming survey for distribution to membership. Final report due to the steering committee to guide the planning for the upcoming National Professional Development Conference.
  • Hosts regional caucuses at the National Professional Development Conference and the Annual Meeting, including the election of new regional chairs at the National Professional Development Conference.
  • Serves as Hospitality Suite Host at the Annual Meeting and National Professional Development Conference.

  • GIA National Professional Development Conference Planning/Steering Committee Meeting (held in July at a determined location.)
  • Steering Committee Meeting (held during the Annual Meeting in October/November)

At-Large

Elected during the spring National Professional Development Conference and serves until the next National Professional Development Conference. Will work with the other elected officers-the Chair, Chair-elect, Vice Chairs for Public Relations/Marketing and Alumni/Development, along with the four regional chairs in the following capacity:

  • Considers matters of common concern to the GIA and works with the steering committee to address those concerns through services and professional development meeting programming.
  • Responsible for contributing to the planning of the topics/sessions for both the annual meeting and for the National Professional Development Conference, particularly those sessions that cut across all five disciplines and any integrated sessions.

Attends the following meetings:

  • GIA National Professional Development Meeting and Steering Committee Meeting (held in March)
  • Joint Past Chairs and Steering Committee Meeting (held 2-1/2 days in June or July at a determined location.)
  • Steering Committee Meeting (held during the Annual Meeting in October/November)
  • Steering Committee/Annual Meeting Planning (held 1-1/2 days in February at AAMC Headquarters)

Track Chairs

Selected by Regional Chairs to serve one year term beginning in April to assist with planning the Annual Meeting and the National Professional Development Conference.

  • Provide continued support given by their predecessors in planning the Annual Meeting track sessions. Conference calls conducted April-October.
  • Participate in planning the National Professional Development Conference programming by implementing professional development topics for their tracks. Planning conducted through bi-weekly conference calls August-December.
  • Identify potential GIA members at AAMC-member institutions, recruit new members, and encourage attendance at both the Annual Meeting and National Professional Development Conference.

Attends the following meetings:

  • GIA National Professional Development Conference Planning/Steering Committee Meeting (held in July in a determined location).
  • Steering Committee Meeting (held during the Annual Meeting in October/November)
  • Annual Meeting Planning (held 1-1/2 days in February at AAMC Headquarters)

Immediate Past Chair

This position becomes effective during the Business Meeting at the National Professional Development Conference (NPDC), and terminates at the next NPDC.

  • Chairs the Call for Nomination Committee in selecting the leadership candidates for the coming year.
  • Directs the biannual member information survey.
  • Takes part in projects as assigned by GIA Chair.
  • Chairs the Past Chairs Meeting (held at AAMC Headquarters in February).
  • Directs any annual project of the past chairs' committee, and serves as its liaison with the GIA Chair, the Steering Committee and the Executive Secretary such as contributions to the Annual Meeting and National Professional Development Conference programming.

Attends the following meetings:

  • National Professional Development Conference and Steering Committee Meeting (held in March/April)
  • GIA National Professional Development Conference Planning/Steering Committee Meeting (held in July at a determined location)
  • Steering Committee Meeting (held during the Annual Meeting in October/November)
  • Steering Committee/Annual Meeting Planning (held 1-1/2 days in February at AAMC Headquarters)

Executive Secretary - Treasurer

  • As the chief appointed officer representing the AAMC, serves as the liaison between the GIA and the AAMC administration.
  • Maintains membership records of the GIA and oversees membership directory.
  • Establishes and maintains a financial accounting system, prepares an annual budget for consideration and approval by the Steering Committee, prepares an annual financial statement for the general GIA membership, and maintains permanent accounts of GIA finances.
  • Makes available other necessary professional support.

Attends the following meetings:

  • National Professional Development Conference and Steering Committee Meeting (held in March/April)
  • GIA National Professional Development Conference Planning/Steering Committee Meeting (held in July at a determined location)
  • Steering Committee Meeting (held during the Annual Meeting in October/November)
  • Steering Committee/Annual Meeting Planning (held 1-1/2 days in February at AAMC Headquarters)
  • Advises GIA Steering Committee and its Chair on consistency between its activities and AAMC mission and general policies.
